ROLE PROFILE

The Office Administrator will ensure the smooth running of the office, including managing all aspects of office administration, assisting with HR administration, IT management and assisting the finance team by undertaking specific bookkeeping duties. For the right person, this is an opportunity to play an important role in the world’s leading anti-corruption organisation. S/he should be able to work under pressure and multi-task effectively.

KEY DUTIES

  • Office Management & Administration
    • Implementing and maintaining procedures/office administrative systems
    • Maintaining a tidy and healthy working environment for staff
    • Liaising with the landlord’s facility management on ad hoc premises issues
    • Dealing with correspondence and responding to general inquiries received by phone and email
    • Ordering stationery and office supplies
    • Providing administrative support to members of the senior management team as required
    • Organising meetings as required
  • HR Administration

Assisting in the following areas:

    • Coordinating all aspects of staff recruitment
    • Inducting new employees
    • Issuing contracts of employment and all other HR documentation
    • Maintaining the HR records
    • Ensuring staff policies and procedures are up to date and communicating changes to staff
    • Ensuring staff appraisal and review processes are conducted on a timely basis across the organisation
    • Organising staff away days
    • Ad hoc HR administration
  • IT
    • Ensuring the smooth running of office IT systems, including printers and servers, ensuring that staff have access to the hardware, software and data appropriate to their role
    • Liaising with external IT support services to help resolve IT issues arising
  • Finance

Assisting in the following areas:

    • Processing all supplier invoices including obtaining internal authorisation and entering the invoices onto Quickbooks
    • Managing the office petty cash and credit card expenditure records
    • Other ad hoc finance tasks

EXPERIENCE AND KNOWLEDGE

Essential:

  • Fluent in English and excellent written and oral communication skills;
  • Experience in a similar role (preferably two years);
  • Good knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook);
  • No restrictions on the right to work in the UK.

Desirable:

  • Experience of IT administration or keen interest in IT;
  • Experience of HR administration.

Person Specification:

  • Highly organised, self-motivated, and reliable;
  • Flexible and a quick learner;
  • An interest in the work of Transparency International.

CONDITIONS

  • Role reports to TI-UK Finance and Resource Director
  • Salary: £24,000 to £26,000 pa depending on experience
  • Permanent contract
  • Full time (35 hours per week)
  • 25 days annual leave in addition to public holidays
  • Pension scheme
  • Start date: mid- January 2016
  • Location: Southwark, London
